This Privacy Policy describes how Landlord & Tenant Consultation Services (“LTCS,” “we,” “our,” or “us”) handles information in connection with our internal case management application (the “App”) and related services we provide to our clients.


1. Scope

The App is a private, internal-use tool distributed only to authorized LTCS staff through Apple TestFlight. It is not available to the public on the App Store. This Privacy Policy applies to:

  • Authorized LTCS staff who use the App in the course of firm business.
  • Clients, opposing parties, and other individuals whose information is processed in connection with LTCS legal matters.

2. Information We Process

In the course of providing landlord-side legal services in NYC Housing Court, the App processes information related to:

  • Client information — landlord and property-manager names, business entities, contact details, billing details, and engagement history.
  • Opposing-party information — tenant names, household members, contact details, and tenant-attorney information, when relevant to active or historical proceedings.
  • Case information — property addresses, building and unit details, regulatory status, lease terms, arrears ledgers, court dates, judge and courtroom assignments, and related proceedings.
  • Document records — pleadings, notices, court correspondence, and other documents generated or stored in connection with active matters.

We do not knowingly collect information from members of the general public through the App.


3. How Information Is Stored

The App stores information using the following services:

  • Apple iCloud (CloudKit) — primary data store, hosted by Apple Inc. within the LTCS-owned CloudKit container.
  • Supabase — secondary store used to make limited case information available, in read-only form, to our internal Customer Relations application so we can keep clients informed on the status of their matters.

Both storage services are configured for private, single-tenant use by LTCS. Stored information is not shared with any party other than the data processors named in Section 5.


4. No Advertising, Analytics, or Tracking

The App does not contain any third-party advertising, analytics, marketing, or behavioral-tracking technologies. We do not sell, rent, or share personal information with advertisers or data brokers.


5. Sub-Processors

We use the following service providers to operate the App:

  • Apple Inc. — CloudKit storage and TestFlight distribution.
  • Supabase, Inc. — secondary database used solely for internal client-status updates.

These providers process information on our behalf under their own published terms, security standards, and applicable data-protection obligations.


6. Security

We apply commercially reasonable safeguards to protect information processed by the App, including:

  • Authentication and access controls that limit App use to authorized LTCS staff.
  • Encryption in transit and at rest, as provided by Apple iCloud and Supabase infrastructure.
  • Role-based permissions within the App.

No system can be guaranteed fully secure, but we work to align our practices with industry-standard expectations for legal-practice technology.


7. Retention

We retain case-related information for as long as necessary to fulfill our legal, regulatory, and professional obligations, including those imposed on legal professionals in New York. Information may be retained beyond the active life of a matter for archival, audit, and ethical-compliance purposes.


8. Your Rights

If you are a client, opposing party, or other individual whose information is processed by LTCS, you may contact us to:

  • Request information about the categories of personal data we hold about you.
  • Request correction of inaccurate information.
  • Request deletion, subject to our legal and professional retention obligations.

Requests may be sent to the contact address below. We will respond within a reasonable time and in accordance with applicable law and the New York Rules of Professional Conduct.


9. Children’s Privacy

The App is an internal business tool and is not directed to children. We do not knowingly collect personal information from children under the age of 13.


10. Changes to This Policy

We may update this Privacy Policy from time to time. The “Effective Date” at the top of this page reflects the date of the most recent revision. Material changes will be posted on our website at https://landlordandtenantservices.com.
